Terms & Conditions
By booking or using a court at GrassRoots Padel ("the Club"), you agree to the following Terms & Conditions.
1. Assumption of Risk & Liability
1.1 Playing padel and using the Club's facilities involves physical activity and inherent risk.
1.2 All players participate entirely at their own risk.
1.3 GrassRoots Padel shall not be liable for any injury, loss, damage or death suffered while using the facilities, except where caused by the Club's proven negligence.
1.4 Players are responsible for ensuring they are physically fit to play and are encouraged to hold appropriate personal insurance.
1.5 The Club accepts no responsibility for lost, stolen or damaged personal belongings.
2. Facility Use & Conduct
2.1 The Club's five courts are outdoor and do not have a permanent roof. Play may be affected by weather conditions — see Sections 5 and 6 below.
2.2 All players must comply with Club rules, safety guidance and instructions from Club staff.
2.3 Appropriate footwear and equipment must be worn at all times.
2.4 Players must behave respectfully toward staff, other players and guests.
2.5 The Club reserves the right to refuse access to or remove any person whose behaviour is unsafe, disruptive or inappropriate, without refund.
3. Damage to Property
3.1 Players are responsible for any damage caused to Club property or facilities as a result of misuse, negligence or misconduct.
3.2 The Club reserves the right to recover the cost of repairs or replacements where damage occurs.
4. General Cancellations
4.1 Clients may cancel their booking for any reason via PadelMates up to 24 hours before the scheduled booking.
4.2 Cancellations made outside this timeframe will receive a full refund, processed back to the original payment method.
4.3 Cancellations made less than 24 hours before the scheduled start time are non-refundable, non-creditable and non-reschedulable, save as set out in Section 5 below.
5. Weather-Related Rescheduling & Cancellations
5.1 All of the Club's courts are outdoors and uncovered. GrassRoots Padel aims to give clients confidence in booking regardless of forecast, while keeping courts open whenever it is safe to do so.
5.2 Client-Initiated Weather Cancellations. If you are concerned about the forecast for your booking, you may cancel via PadelMates up to 24 hours before your scheduled match and receive a full refund under the standard policy at Section 4. This is the only way to guarantee a refund or credit where the Club has not itself moved your booking under Section 5.3.
5.3 Club-Initiated Rescheduling. Where Club management assesses that weather conditions are, or are forecast to be, heavy rain, or where a Met Office weather warning covering the relevant period is in effect, and determines that play is or will be unsafe, the Club will move the affected booking to an alternative off-peak slot, subject to availability, rather than cancelling it outright.
5.4 Court playability will be assessed a minimum of 1 hour before the scheduled booking time where reasonably possible, and affected clients will be notified as soon as reasonably possible of the alternative slot offered.
5.5 If No Off-Peak Slot Is Available. Where no suitable alternative off-peak slot is available (including for open matches), the Club will instead offer a free reschedule to a slot of the client's choosing, subject to availability, or a credit to the client's Club wallet for use on future bookings.
5.6 A booking moved under Section 5.3 is treated as rescheduled, not cancelled, and does not count toward, or get charged under, the 24-hour cancellation policy at Section 4.
5.7 No Club-Initiated Move. Where the Club has not moved a booking under Section 5.3, the booking proceeds as normal and the standard 24-hour cancellation policy at Section 4 applies in full. If a client chooses not to play, or finds conditions unplayable or unsafe on the day, within the 24-hour window, no refund, credit, or reschedule will be offered other than as set out in this Section 5.
5.8 Light to moderate rain does not, of itself, automatically constitute unplayable or unsafe conditions; the determination is a matter for the Club's assessment under Section 6.
6. Definition of Unplayable Weather
6.1 Conditions that may result in a Club-initiated reschedule under Section 5.3 include:
Heavy or persistent rain, including surface pooling or flooding
Thunderstorms or lightning
Snow, sleet, or hail
Strong or extreme wind
Extreme heat, where deemed a safety risk by Club management
6.2 Light and moderate rain, moderate wind, and cold temperatures alone do not automatically trigger a reschedule.
6.3 The determination of court playability, including the distinction between light and moderate/heavy weather, is made solely at the discretion of GrassRoots Padel, with reference to Met Office forecasts and warnings and on-site conditions.
7. Exceptional Circumstances
7.1 In cases of extreme weather events or unforeseen circumstances beyond the Club's control, GrassRoots Padel reserves the right to amend or adjust this policy.
7.2 Any such situations will be handled fairly and with consideration for clients.
8. Privacy & Data Protection
8.1 The Club processes personal data in accordance with applicable data protection laws.
8.2 By booking a court or using the Club's facilities, clients consent to the collection and use of their personal information for booking, operational and Club-related purposes only.
8.3 Data may be shared with third-party booking platforms (such as [Playtomic/your platform]) where necessary to provide services.
9. Changes to These Terms
9.1 GrassRoots Padel reserves the right to update these Terms & Conditions at any time.
9.2 Continued use of the facilities following any changes constitutes acceptance of the updated terms.
10. Governing Law
10.1 These Terms & Conditions are governed by the laws of England and Wales.
10.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
